School Administrator - SEN School

Full Time | Permanent | Term Time Only

Salary: Competitive (dependent on experience) Hours: Monday - Friday, 8:00am - 3:45pm (Term Time Only) Reporting to: School Business Manager

About the Role

We are seeking an organised, proactive and professional School Administrator to support the day-to-day running of a busy SEN school. This role provides essential administrative, organisational and reception support to staff, pupils and families.

You will act as the first point of contact for parents, carers, visitors and external professionals, ensuring enquiries are handled efficiently and professionally. This is an excellent opportunity for someone with strong organisational skills who enjoys working in a collaborative school environment supporting children and young people with Special Educational Needs and Disabilities (SEND).

Key Responsibilities

Administration

  • Maintain and update school records and information systems

  • Manage the school calendar and assist with meetings and events

  • Monitor and manage the school email inbox

  • Process forms and documentation from parents/carers

  • Organise incoming and outgoing post

  • Provide general administrative support to staff

  • Coordinate staff training bookings

  • Order and monitor office and school supplies

  • Carry out filing, printing, scanning and photocopying

  • Support the organisation of parents' evenings and school events

  • Maintain records in line with data protection and retention policies

  • Attendance

  • Maintain the daily pupil attendance register

  • Monitor attendance and produce reports when required

  • Track late arrivals and follow up absences with parents/carers

  • Ensure attendance procedures follow safeguarding guidance

  • Reception

  • Handle telephone and face-to-face enquiries professionally

  • Act as the first point of contact for parents, carers and visitors

  • Relay messages and information to relevant staff

  • Provide information and support to staff and pupils where required

  • Safeguarding & Site Security

  • Manage visitor access in line with safeguarding procedures

  • Ensure visitors sign in, provide identification and receive passes

  • Remain vigilant to unidentified individuals on site

  • Support a safe and inclusive environment for all pupils

  • All staff must follow statutory safeguarding guidance including Keeping Children Safe in Education (KCSIE) and other relevant safeguarding legislation.

    Communication

  • Draft and respond to professional emails

  • Support school communications including letters and newsletters

  • Provide administrative support for annual reviews and reports

  • Finance

  • Assist with petty cash administration

  • Additional Duties

  • Support school admissions processes

  • Assist with pupil transition and leavers procedures

  • Provide support with health and safety administration

  • Administer pupil medication where required

  • Liaise with visiting health professionals (e.g. school nursing team)

  • Complete training required for the role

  • Follow school policies and procedures at all times

  • Support safeguarding and the wellbeing of pupils
